IT Equipment Disposal and Decommissioning

Infrastructure modernization tends to focus on what is coming in — and forgets about what is going out. Old equipment left in a rack or cabinet is not neutral: it occupies space, consumes power, may contain sensitive data, and adds unnecessary complexity to the environment.

Codex Media helps organize a clean exit for old infrastructure — from decommission planning and secure data erasure, to physical removal and preparing the environment for the next phase. Everything with a clear sequence of steps and without operational chaos.

What it includes

  • inventory and assessment of existing equipment
  • decommission plan with ordered steps and timeline
  • secure data erasure from devices (with certificate on request)
  • physical removal of equipment from rack and premises
  • preparation of space and infrastructure for new equipment
  • organized transition that minimizes operational disruption
  • coordination with recycler or resale where appropriate

What it means in practice

  • environment without zombie devices nobody knows about
  • data securely erased from devices leaving the organization
  • clean rack and clear switch fabric without legacy configurations
  • fewer operational surprises from old infrastructure
  • a clear starting point for the next phase of IT development

Typical scenarios

Network infrastructure modernization

The company introduces new network equipment — but the old switches and routers remain in the rack "just in case." That is not a backup, that is a burden. We plan an orderly exit — test the new system in parallel, confirm stability, and then decommission the old equipment with secure configuration erasure.

Office closure or relocation

An office is moving or closing — the IT infrastructure needs to be accounted for. We inventory the equipment, assess what moves, what gets disposed of, and what can be resold, then organize the entire process — logistically and technically — with secure erasure of all devices not moving forward.

Legacy server decommissioning

The company is moving to virtualization or cloud and needs to retire old physical servers. We erase data according to the NIST 800-88 standard (or DoD 5220.22-M), document the process, and coordinate hardware disposal or resale.

Frequently asked questions

Why is secure data erasure important?

A factory reset of a network device or server does not erase data in a way that prevents forensic recovery. Devices leaving your organization — even to recycling — can contain configurations, passwords, certificates, and fragments of business data. Secure erasure to standard (NIST 800-88) or physical media destruction are the only acceptable approaches for organizations with regulatory obligations.

Can the erasure be confirmed with documentation?

Yes — for organizations requiring documented proof of secure erasure (for GDPR, ISO 27001, or internal purposes) we provide an erasure certificate with a list of devices and the method applied. This is especially important in regulated industries.

Can old equipment be sold rather than disposed of?

Depending on the condition and model — yes. Enterprise network equipment (Cisco, HP, Juniper) can have residual market value as refurbished equipment. We assess the condition and make a recommendation — sometimes resale is a financially interesting alternative to recycling.

Can decommissioning be done without downtime?

In most cases, yes. We plan decommissioning so that old and new infrastructure run in parallel until the new system is confirmed stable. Physical removal of old equipment is scheduled in a window that minimizes operational risk.

What if we don't know exactly what is in the rack?

Inventory is part of the service. We come in, scan the environment, and document what exists, what is active, and what is actually in use. This is useful in its own right — many organizations discover devices they were not aware of and services that have been running "in the background" for years.

Do you also remove physical (passive) cabling infrastructure?

For removal and rationalization of passive infrastructure (cable runs, patch panels, rack hardware), we work with partners who specialize in that type of work. We coordinate the entire project — from the network side to the physical installation.
